Personal Information Collection Statement

1. Any personal data collected will be used for one or more of the following purposes:
(a) keeping and updating of alumni, benefactor and membership records;
(b) checking and maintaining membership status;
(c) collecting and processing of subscriptions, donations or other payments;
(d) liaison with or communications between or among the University of Cambridge, the Friends and/or members;
(e) designing, planning, organizing or holding of events and activities of the Friends and/or the University of Cambridge, or other events or activities considered by the Friends or the University of Cambridge consider to be relevant to or of interest to members (which may include fundraising).

2. Data held by the Friends will be kept confidential, but the Friends may transfer or provide data to one or more of the following persons or entities (who may be located in Hong Kong or overseas) for any of the purposes set out in paragraph 1 above:
(a) the University of Cambridge;
(b) banks or financial institutions involved in the collection, processing or payment of subscriptions, donations or other payments;
(c) any agent, contractor or third party service provider who provides telecommunications, information technology, data processing, marketing and research, banking or financial services, administrative or secretarial support, or other services to the Friends and/or the University of Cambridge; and
(d) any person or entity (including other societies, associations or clubs) who designs, plans, organises or holds (or assists in the design, planning, organization or holding of) events and
activities (educational, social or otherwise) for or with the Friends and/or the University of Cambridge.

3. Members have the right to access and correct any personal data provided. The data access or correction request should be in either English or Chinese and sent to:

The Friends may charge a reasonable fee for the processing of any data access request.

4. The Friends will not use any personal data of members for direct marketing purposes except that the Friends may contact members from time to time
(a) to inform them of or invite them to events or activities of or organised by the Friends and/or the University of Cambridge, or other events or activities considered by the Friends and/or the University of Cambridge to be relevant to or of interest to members (which may include fundraising); or
(b) in connection with fundraising for the University of Cambridge (or any project related to the University of Cambridge) or the Friends. Members should notify the Friends (by using the contact details provided in paragraph 3 above) if they do not wish to receive any such communication, invitation or further information from the Friends.

5. Data collected by the Friends will be kept for as long as the Friends consider it necessary for the purposes set out in paragraph 1 above. Data which is no longer necessary will be destroyed.

6. This Personal Information Collection Statement applies to data already in the possession of the Friends on or before 1 April 2013 as well as data collected by the Friends after that date.

7. For the purposes of this Personal Information Collection Statement, the expression “University of Cambridge” includes the University of Cambridge and/or any of its schools, departments,
programmes, offices and colleges, and/or any of its officers, staff members and agents; and the expression “the Friends” includes The Friends of Cambridge University in Hong Kong Limited
and/or any of its committees and officers.
